 What we are looking for:

We are seeking a proactive, assertive, and detail-oriented Resource Manager to join our AI Customer Implementations team at IntelePeer. This role is critical to ensuring the successful staffing, tracking, and reporting of AI implementation projects across our growing portfolio. You will work closely with project managers, delivery leads, and cross-functional stakeholders to align resources with project needs, manage project documentation in Smartsheet and workforce management platforms, and provide visibility into project and portfolio performance. The ideal candidate is comfortable chasing down time sheets and ensuring compliance with reporting expectations.

What we are looking for:

Resource Planning & Allocation: Own and manage the resource allocation process across multiple AI implementation projects using Smartsheet and workforce management software.

Capacity Management: Monitor workload distribution, identify over/underutilization, and support demand forecasting aligned with delivery timelines.

Stakeholder Coordination: Collaborate with project managers, team leads, and department heads to ensure timely and accurate project staffing.

Governance & Process: Standardize and maintain resource tracking processes, ensuring data accuracy and accountability in Smartsheet dashboards and workforce systems.

Change Management: Adjust assignments based on shifting priorities or scope changes to minimize delivery disruptions.

Reporting: Generate and present weekly and portfolio-level resourcing reports highlighting utilization, coverage gaps, and projected needs.

Continuous Improvement: Support the evolution of resource management tools and processes to enhance operational efficiency.

Cross-Functional Forecasting: Partner with Sales and Delivery teams to anticipate and plan for future resource needs.

Time Tracking Enforcement: Proactively follow up with team members to ensure timely submission of time sheets and resource data, escalating as needed to maintain compliance.

Experience: 

3–5 years in resource management, project coordination, or delivery operations, preferably in software, SaaS, or telecommunications.

Tools Proficiency: Strong expertise in Smartsheet (dashboards, reports, automations, cross-sheet formulas), workforce management software (e.g., Kronos, Workday), Salesforce, and project tracking tools.

Project Knowledge: Familiarity with professional services or implementation project lifecycles; experience with AI deployments is a plus.

Certifications: PMP or CAPM certification preferred.

Skills: Excellent organizational, analytical, and communication skills; ability to manage multiple priorities in a remote-first environment.

Education: Bachelor’s degree or equivalent experience in Business, Operations, or a related field.

Personality Fit: A confident communicator who is not afraid to chase down missing information or hold others accountable for time tracking and resource reporting.

Physical Requirements:

• Sedentary work lifting no more than 10 pounds.
• Occasional lifting, carrying, and standing.
• Frequent hand/eye coordination to operate office equipment.
• Vision sufficient to read computer screens, reports, and related department documents.
• Dexterity to operate computer keyboards and other related office equipment.
• Endurance sufficient to sit and work at a computer for extended periods of time.
• Frequent speech communication and hearing.
