Job Summary:
Are you passionate about bringing events to life? We're looking for a highly enthusiastic, organized, and detail-oriented Event and Marketing Coordinator to join our team. These roles give you the opportunity to grow. These fantastic opportunities are for those eager to gain hands-on experience in event planning and marketing coordination for tradeshows, conferences, exec 1:1 events, and virtual events. You'll support the IntelePeer Marketing Team in various aspects of event execution, ensuring smooth operations and memorable experiences.
Responsibilities:
- Demand Gen and Corporate Event Support and Coordination:
- Assist in researching and securing venues, vendors (catering, AV, entertainment, etc.), and suppliers.
- Help develop and maintain detailed event timelines and logistical plans.
- Support the event registration process, including managing online platforms and attendee communications.
- Assist with event setup, teardown, and on-site event management, ensuring everything runs smoothly.
- o Working with product marketing and content to ensure current and relevant messaging and digital signage resonates with audiences.
- Onsite & Logistical Tasks:
- Provide on-site support, greeting attendees, and assisting with various needs during events.
- o Onsite event management and lead/note capture including Pre, during, and post.
- o Responsible for analyzing event success through attendee feedback, ROI assessments, and other metrics
- Demand Generation Events:
- Coordinate and execute a large number of demand generation events owned by the Demand Generation team.
- Liaise with internal stakeholders, vendors, and participants to ensure seamless event execution.
- Oversee Event Target Audience Research - ICP selection for all recommended events
- Provide Event Identification of target Sub-Vertical events and provide leaders with recommendation
- Manage Event planning (Pre, At, Post) Timeline and Deliverable Management
- Monitor and track Budget and swag (inventory and event distribution)
- Work with Growth & RevOps to track and attribute event attendees to pipeline and revenue
- Speak to sales reps during enablement sessions and field Q&A
- Install Base and Customer Events:
- Play a critical role inexecution of IntelePeer’s branded events
- Collaborate with cross-functional teams to ensure successful event delivery.
- Coordinate with speakers, vendors, and attendees to facilitate a smooth event experience.
- Event Management:
- Develop and maintain comprehensive event plans, timelines, and budgets.
- Manage event registration processes, attendee communications, and on-site check-in procedures.
- Oversee event setup, tear-down, and on-site coordination with vendors and staff.
- Onsite and post event lead management with Ops, SDR and Sales Teams
- Vendor Management:
- Source and manage relationships with event vendors, including venues, caterers, audio-visual providers, and printers.
- Coordinate the production of printed materials, signage, and other physical event collaterals.
- Travel and Logistics:
- Must be available to travel regularly to events
- Arrange travel and accommodation for speakers, staff, and attendees as required.
- Coordinate transportation and logistical arrangements for events.
- Ensure compliance with travel policies and budget guidelines.
Required Qualifications
Qualifications:
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with common office software (e.g., Microsoft Office Suite).
- A proactive attitude and willingness to learn quickly.
- Ability to work independently on assigned tasks and collaboratively within a team.
- Some flexibility to work evenings and weekends as required by event schedules.
- Passion for events and creating positive experiences for attendees.
Education & Experience:
- Bachelor's degree is required, preferably in Marketing and/or Business Administration.
- Preferred Industry Experience
- 2 to 4 year experience in project management, event planning, coordination, or a related marketing/ advertising administrative role.

Physical Requirements:
- Sedentary work lifting no more than 10 pounds.
